A checklist to roll out AI in a company without leaking data
Your staff already use AI; the only question is which services and with what data. This checklist turns ad-hoc use into managed use within a couple of weeks.

Week 1: tasks and rules
- List 5–10 recurring tasks where AI saves time: customer replies, document drafts, ticket triage, code
- Decide which data must never leave: customer personal data, secrets, financial reports
- Choose a service that does not store API prompts and lets you restrict keys
- Write short rules: what is allowed, what is not, where to ask
Week 2: access and a pilot
- Give each service and team its own key, restricted by IP and models
- Connect 1–2 scenarios: a support bot, an assistant for sales or developers
- Plan the budget: a fixed subscription is more predictable than per-token billing
- After two weeks compare task time before and after

How to train staff
One hour-long session is enough: show 3–4 scenarios on the team’s real tasks, go through the data rules and share prompt templates. A week later collect questions and the best examples to start an internal playbook.
Assign an owner who manages keys, answers questions and gathers feedback. Without an owner the rollout quickly turns into scattered experiments.
